Natural Hairology Salon Policies & Procedures
These policies exist to protect the time, energy, and professionalism of the salon while ensuring every client receives consistent, high-quality service. Booking an appointment constitutes agreement to all policies below.
1. Client Service Process (What to Expect)
Before Your Appointment
• All clients must complete the required consultation form prior to booking.
• Hair must meet preparation requirements listed for each service (clean, detangled, free of product buildup unless otherwise stated).
• Deposits are required to secure all appointments.
Arrival & Check-In
• Clients must arrive on time. Arrival time is the appointment start time, not parking or walking-in time.
• Late arrivals may result in shortened services or cancellation.
During the Service
• The salon environment is calm, professional, and focused on hair care.
• Stylists reserve the right to stop or refuse service if policies are violated.
After the Service
• Remaining balance is due immediately upon service completion.
• Aftercare instructions are provided and must be followed to maintain results.
2. Booking & Deposit Policy
• All appointments require a non-refundable deposit to secure the time slot.
• Deposits are applied toward the total service cost.
• Appointments are not confirmed until the deposit is received.
• Deposits protect the stylist from last-minute cancellations and no-shows.

Deposit Forfeiture
Deposits are forfeited if:
• The client cancels outside the cancellation window.
• The client arrives too late to complete the service.
• The client does not show up.
3. Cancellation & Rescheduling Policy
• Cancellations or reschedules must be made at least 48 hours in advance for regular services
• Cancellations or reschedules for services that require 8+ hours of service time must be made at least 7 business days in advance for specialty services (e.g. small braids, micro locs, loc extensions).

4. Service Transfer Policy (The "Family Member" Clause)
​In the event that you are within the 7-day cancellation window but are unable to attend your installation, I do allow you to transfer your appointment and deposit to a family member or friend. However, because Micro locs are a highly customized service, the following conditions must be met:
• Mandatory Consultation: The new individual must have a consultation with me before the scheduled appointment date. I cannot perform an installation on hair I have not personally assessed for health, density, and texture.
• Price Adjustment: The original quote provided to you was specific to your hair. If the family member has higher density or significantly longer hair, the total price will be adjusted accordingly, and the new client will be responsible for the difference.
• Time Constraints: If the family member’s hair requires more time than was originally blocked for your session (e.g., your hair was 4 inches, but theirs is 12 inches), I reserve the right to reschedule the session to a date that allows for the proper time.
• One-Time Transfer : This transfer of deposit is permitted one time only. If the new client also needs to reschedule or cancel, the deposit will be forfeited.

​Micro Loc Policy (Specialty)
1. Consultation Policy
​The consultation is the most critical step to ensure the hair is healthy enough for the service.

​Mandatory Requirement: All new installations and transfer clients must have a consultation at least 48 hours before booking.

​Analysis: Includes scalp health assessment, density analysis, and a "test loc" if necessary to determine the best technique (twisting, interlocking, or braiding).

​Consultation Fee: A non-refundable fee (e.g., $50–$100) that may or may not be applied to the total service cost.
​2. Booking & Deposit Policy

​Non-Refundable Deposit: Due to the 10+ hours required for installation, a 50% non-refundable deposit is standard.

​Tardiness: A 15-minute grace period is usually given. After 15 minutes, the appointment may be canceled and the deposit forfeited.

​Preparation: Client will receive a shampoo and condition with service. Client hair will be air-dried and completely free of products (no oils, conditioners, or moisturizers).
​3. Installation Procedure

​Duration: Installations typically take 8–15 hours. Larger sessions will be split into two- three days if necessary.

​Environment: Clients are encouraged to bring headphones, snacks, and a neck pillow.

​Comfort Breaks: Scheduled 30-minute breaks for lunch and shorter stretch breaks every 3 hours.
​4. Maintenance & Retightening Policy

​Frequency: Regular retightening is required every 4–6 weeks depending on texture & growth pattern.

​Overdue Fees: If a client exceeds 6 weeks, an "Overdue Fee" of $45 is applied because the growth requires more precision and time to manage.

​Transfer Clients: Transfer clients are typically charged at an hourly rate for the first session to correct any "grid" issues from previous stylists.
​5. Aftercare & Liability

​Washing: Clients must "braid and band" their locs for the first 6 months to prevent unraveling during washes.

​Products: Use only lightweight, residue-free shampoos. Avoid heavy butters and waxes which cause buildup.

​Satin Protection: A satin bonnet or pillowcase is mandatory to prevent lint and frizz.

​Satisfaction Window: Any concerns regarding the installation or retightening must be reported within 24-48 hours for a complimentary adjustment.
